Purpose of job:
As a member of the Professional Services team, the postholder provides timely and effective support for premises, operations-specific procurement, IT coordination, and travel management for the British Council's operations in Kazakhstan, ensuring full compliance with corporate standards, policies, and local legislation. The role ensures that all procurement activities follow corporate procedures, acts as the primary contact for customs authorities and courier service providers for the clearance of exam materials and equipment, and manages operations-related purchase orders and purchase-to-pay processes. The postholder also supports IT and facilities coordination, line-manages the office Driver/Administration Assistant, and assists UK staff by coordinating travel, accommodation, and international assignment–related purchasing. Additionally, the role maintains the contracts database, flags contract and supplier reviews ahead of expiry dates, and builds effective relationships with key suppliers, addressing concerns proactively with the Operations Manager. Overall, the postholder contributes to the successful delivery of Exams and Cultural Engagement programmes by providing informed and efficient procurement support for goods and services.

Accountabilities, responsibilities and main duties:
Programme / Service Support
Deliver a range of administrative tasks in line with corporate procedures to ensure high-quality, consistent, and efficient operations.
Maintain accurate records related to the work area and prepare routine as well as occasional non-standard documentation.
Provide logistical support for the planning and delivery of internal and external activities and events, ensuring smooth and efficient execution.
Recognise and assess the impact of issues as they arise—such as complaints, resourcing gaps, or logistical/technical challenges—and proactively alert the Operations Manager to any concerns that could affect service delivery, project timelines, or customer experience.
Relationship & Stakeholder Management
Proactively communicate and coordinate with internal teams and external partners to support the effective delivery of activities, services, and events.
Develop an understanding of key stakeholders across the region to enable efficient issue resolution and stronger collaboration.
Resource Coordination
Monitor and manage small-scale resources in accordance with established procedures, ensuring that materials and equipment are available, maintained, and ready for use when needed.
Managing Self & Others
Coordinate colleagues or external contractors/suppliers to complete straightforward, time-bound activities within established processes, ensuring efficient and timely service delivery.
Oversee task completion to ensure adherence to agreed quality standards and deadlines.
Qualifications – Degree level qualification or equivalent experience in area relevant to the job.
Role specific knowledge and experience
Minimum/Essential:
- Demonstrable previous experience of managing multi-disciplinary tasks carrying out a mix of different functions or delivering different services
- Evidence of quality management skills, and of having managed a service delivery function so as to deliver improvements in service quality to customers and users.
- Minimum two years of experience in office administration
Desirable: Knowledge of SAP
